TO ALL MEMBERS OF THE INSTITUTE

Subject: 63rd Annual General Meeting: Nominations for election to the Council of the Institute

Dear colleagues,

On Wednesday, June 19, 2024, the 63rd Annual General Meeting of ICPAC will be held both with physical presence and with the use of electronic means, utilizing a special platform that has been prepared for this purpose. Applying the provisions of ICPAC’s Articles of Association, the Assembly will begin on Wednesday 19/6/2024 at 10.00am via the electronic platform. At 10.30am, the electronic voting will be opened for all resolutions that will be presented before the Annual General Meeting, including the election of members to ICPAC’s Council. Then, the AGM will be adjourned until 5.30pm, when the AGM will resume with the Constitutional Part, which will be held with the physical presence of the members, at the Nicosia Municipal Theatre. At 6.30pm the Ceremonial Part of the AGM will begin.

The electronic voting will take place from 10.30am until 5.30pm, at which time the electronic platform will be closed. There will be no ballot boxes at the AGM venue. The purpose of electronic voting is to attract as many members as possible to exercise their right to vote, from the comfort of their home or office, with a more flexible and extended time frame, without being subject to any hassle or restriction. This of course falls within ICPAC’s strategy for digitalisation and the mass participation of members in the top annual event of the Institute.

It is noted that the proceedings of the 63rd Annual General Meeting will be broadcasted electronically through livestreaming from ICPAC's website and its accounts on the social networking platforms Facebook and YouTube.

Please find attached the General Circular 6/2024 with the announcement of the elections for the Council and the Nomination Proposal form.

It is also noted that the electoral procedure will also be held with electronic means, via a dedicated voting platform developed by the Institute. General Circular 8/2024 provides the relevant additional information thereon. ICPAC will be sending more information and updates with more details on the process in due course.

Finally, also be informed that the Institute shall distribute its Financial Statements for 2023 in electronic form only. Should anyone wish to obtain a copy in printed form, he/she may contact ICPAC offices at least 30 days prior to the AGM date.
